ProControl is a procedure and technique management system built on Eclipse Scientific's DMS (Document Management System) architecture. The system facilitates content creation, content management and distribution access rights.
The server can be accessed within a corporate network or may be configured to allow access through the internet if desired. Documents are automatically tagged with configurable key words to make searching and grouping documents easy and robust.
Document ManagementThe ProControl client allows users to manage a set of procedures and their supporting documents. The documents are stored centrally on the DMS server. Documents are checked out for editing, then checked back in when the edits are complete. During the check-in process, the document is copied to a read only PDF version that is available for viewing for users. Users can also subscribe to notifications for documents they have access to. When a subscribed document is updated, users are automatically sent email notifications (if mail server is configured) of the changes to the document. Documents presented to consumers are displayed using Adobe Acrobat embedded within the ProControl client for a rich document viewing experience. The client strips the Print, Save and eMail options from Acrobat to prevent uncontrolled copies of the document from being distributed outside of the approved set of ProControl users. Depending on the level of the user that logs into ProControl , the user interface is dynamically restructured to make locating and viewing relevant documents as easy as possible. Morphing the interface based on level of user minimizes the amount of training required by the common user to the bare necessities and simplifies rollout and distribution within a corporation. ProControl also uses a smart caching mechanism for high performance over a wide area network, or even the internet.
SecurityProControl leverages SQL Server’s security infrastructure and includes support for user based login or using Windows Authentication. Based on the roles that a specific user belongs to, the client controls access to what functionality is available to them. Consumer level security allows the user to connect to the server and view the procedures that have been made available to them by a user with administrative rights. They can view procedure documents on screen, but may not print, save copies or copy content from the documents. Administrative users represent the highest level of security in the system and are allowed to perform administrative functions. Administrative functions include the ability to create new user accounts and control which users have access to which documents. The ProControl SQL Server can be accessed outside of a corporate network securely, with only one firewall port.
Ease of UseProControl was designed to be extremely easy to use and intuitive. The file list groups files by master document, support files and published documents. Icons beside the files clearly identify files types, groups and status. RequirementsThe ProControl client will run on any Windows XP or newer PC. Data and files are stored on a central SQL server. The ProControl database can be installed onto an existing Microsoft SQL server, or Eclipse will work with your IT department to configure and build a new server.

The DMS is a server based architecture for centrally storing, managing and controlling access to documents. Documents are stored in a Microsoft SQL Server database. SQL Server provides security for documents and supporting attribution to facilitate managing multiple versions of a document and controlling user access to the documents.
Each revision to the document is logged in the event log for a historical view of the evolution of the document.
